Q: What's the purpose of the program?
A: The issuance of durable, plastic Employee ID cards is the first step in the campus' effort to install a multi-function card (a.k.a. "One Card") program. Over the next 5-10 years, other services will be made available that require the new employee identification card.

Q: Am I required to obtain a new ID?
A: No, there is no requirement by the campus to have an ID card. However, various units across campus require employee identification before extending service, and the employee ID card will be the only official employee ID after July 1, 2004.

Q: Why isn't everyone required to get a new ID card?
A: Many employees do not use any services which require a campus identification card; given this scenario, the implementation committee decided that requiring these employees to obtain one of the new cards would be an unnecessary burden on the employee.

Q: Is there a cost for the first issue or replacement of a card?
A: There is no charge to either the individual or their department

Q: When will new employees receive their ID?
A: New employees will receive their ID card as part of New Employee Orientation or by visiting Student Accounting, 2100 Dutton Hall.

Q: What are the guidelines for providing my own photo?
A: If you choose to provide your own photo, it should be a clear, recognizable photo of your face in electronic format (Must be of type: JPG, BMP, TGA, PCX, TIF, or DIB, size 2 mega-pixels or greater). The photo must be appropriate for a professional identification card. Please send your picture to employeeID@ucdavis.edu. Note: You will need to provide your Library bar code in the e-mail requesting your ID. We will transfer your privileges onto your employee ID; otherwise you will be issued a new library code. You will need to surrender your library card at the time you pick up your employee ID.

Q: How long will it take for my card to be printed?
A: If you come to 2100 Dutton Hall to have your picture taken, a card will be printed as you wait (approximately 1 minute to print a card). If you send in a photograph, your card will be available for pickup in Dutton Hall on the third business day after receipt of your photo.

Q: Are the campus ID cards the same as the ones issued at UCDMC? If I transfer from UCDMC, do I have to get a new card?
A: Due to cost considerations, the campus employee ID cards do not contain the high-security features required on UCDMC identification cards. As such, employees that transfer from the campus to UCDMC will need to obtain a new identification card. Employees transferring from UCDMC to the campus do not.

Q: Do I have to get a new card if I move to another department?
A: Employees who change departments are not required by the campus to obtain a new identification card. Since the employee's campus department affiliation does appear on the ID card, however, some departments may require a new employee to obtain a new card; check with your supervisor.

Q: What happens if I lose my ID card?
A: The employee should report the loss immediately to the Employee ID Card Office in 2100 Dutton Hall. A new card will be issued free-of-charge.

Q: What is my Library Bar Code?
A: If you have a library card, you should see a bar code with a number beginning with "21175". We need this complete number in order to transfer your library privileges to your new employee ID.

Q: Do I need to get more than one ID card if I work in more than one department?
A: Since the primary function of the card is to identify you as a UCD employee, you only need one ID card, even if you work in multiple departments. The department name that will appear on your card is pulled from your administrative or primary home department record in the Payroll and Personnel System (PPS).

Q: What do I do with the card if I leave the university?
A: Campus policy with respect to ID card surrender at separation has not changed. ID cards should be collected at the point of separation and either destroyed in-house, or sent to the employee ID card office (2100 Dutton Hall) for destruction.

Q: How do employees who work off-site permanently get a photo ID if they're not in the Davis area?
A: Off site employees will likely want to take advantage of our picture mail-in program as employee ID card staff will not travel outside the Davis area to take pictures. Cards for off-campus locations are sent to a single point-of-contact, who can then check IDs to ensure the proper card gets to the proper person.

Q: Am I required to get the new ID card if I wish to apply for a UCD library card?
A: You are not required to get the new ID card in order to get library privileges. However, the new ID card can be coded with a library barcode and other services, so getting the new ID card is the recommended option.

Q: What if I cannot come by Dutton Hall to pick up my picture?
A: You may choose to have someone else come by to Dutton Hall to pick up your ID as long as he/she has a valid picture ID and a letter of authorization by the individual on the card. The representative will assume ALL responsibility to check the information on the card before releasing it to the respective individual.

Q: What if my UC Retirement System (UCRS) Identification Card is lost or damaged beyond recognition?
A: A replacement may be obtained from the Campus Benefits Office.

Q: Do I have to have the UC Retirement System (UCRS) Identification Card to obtain an Employee ID Card?
A: Yes, you must present the UCRS Identification Card to receive your new Retiree Identification Card.

Q: What services are available by using my Retiree ID Card?
A: Emeritus faculty and retired staff are eligible to use the library.

Q: Do I need my Retiree Identification Card to obtain my parking permit?
A: No, as long as you have a photo id and your UCRS Identification Card you can obtain your parking permit.

Q: What do I do if my card is expired?
A: Employees who are Visiting Scholars or have Limited Appointments will have expiration dates on their ID cards. If their appointment has been extended they will need to visit the Employee ID Card Office, 2100 Dutton Hall to obtain a current ID card. Before we can issue a new card we will take possession of the expired card.
